RESOLUTION AWARDING CONTRACT TO METAFILE INFORMATION SYSTEMS, INC., FOR COMPUTER OUTPUT TO LASER DISK (COLD) STORAGE SYSTEM, IN THE AMOUNT OF $43,995.

BY COUNCILOR EDWARDS:

RESOLVED, that Metafile Information Systems, Inc., be and hereby is awarded a contract for furnishing, installing and maintaining computer output to laser disk (cold) storage system for the M.I.S. division in accordance with specifications on its low specification proposal of $43,995, terms net 30, FOB destination, payable out of Capital Equipment Fund 250, Dept./Agency 015, Organization 2109, Object E908.


STATEMENT OF PURPOSE:  This resolution will authorize the purchase and installation of a laser disk (cold) storage system from Metafile Information System, Inc., for $43,995 to be paid from capital equipment fund, administrative services department, document management system expenses. A cold (computer output to laser disk) storage system allows printed output to be stored to magnetic disk, then retrieved by virtually any search criteria contained within the data. The initial impact of this product will be seen in the reduction of paper for financial and payroll processing, although applications are likely for police department incident data, Comfort Systems billing data and clerks records. Proposals were received from six vendors, priced from $24,000 to $250,000. After review of the responses, three vendors were selected to provide on-site demonstrations. The three vendors were evaluated on ease of use, features supported, ability to integrate with document imaging, support services, company profile, compatibility with the city's existing technology and price.
