RESOLVED, that the proper city officers are hereby authorized to purchase equipment and supplies, substantially in the form and quantity of that listed on the bill of materials on file in the office of the city clerk as Public Document No. _____, necessary to proceed with Phase 4 of the city’s telecommunications upgrade project, specifically the upgrade of the City Hall core equipment, and the installation and implementation of services for five additional remote sites for a sum of $145,000 payable as follows:
2003 Capital Equipment Bond Fund 250-015-2003-5580, Project #CE250-E305 - $ 7,357;
2004 Capital Equipment Bond Fund 250-015-2004-5580, Project #CE250-E401 - $53,684;
2005 Capital Equipment Bond Fund 250-015-2005-5580, Project #CE250-E501 - $83,959.
STATEMENT OF PURPOSE: This resolution authorizes the city to purchase equipment and supplies necessary for completion of the City Hall core equipment upgrade and remote site implementation phase of the city’s telecommunications upgrade project, specifically termed Phase 4. The equipment will be purchased from Enventis Telecom, under pricing of the state contract. The equipment will be installed by Enventis Telecom, the approval of which expenditure is the subject of Resolution 05-0341. Enventis Telecom was selected for completion of this project through a request for proposal process. This purchase covers the final phase, Phase 4, of a multi-phase project, with discovery and design services (Phase 1), and Phases 2 and 3, City Hall and Garfield implementation, now complete.
Capital equipment bond funding was approved by the council in the years 2003, 2004, and 2005 to cover this equipment expense. The estimated total project cost is $1,083,000, of which $30,000 has been expended for the discovery and design phase (Phase 1); $868,000 for Phases 2 and 3, and the balance of $215,000 to be expended for this Phase 4, including this resolution, the costs associated with system implementation by Enventis Telecom under Resolution 05-0341, as well as $10,000 in additional infrastructure expenses for cabling and associated project costs at the five remote facilities.
